FreeAgent Integration: Invoices and Quotes from Chats – FreeAgent in Binom

Updated 6 min read 14 / 20
Short answer

How to connect FreeAgent to Binom: contacts, invoices and quotes sent by email, with payment status. Available on request.

The FreeAgent integration with Binom moves agreements from the conversation into accounting: the AI employee creates a contact, invoice or estimate, emails it to the client, and reports the payment status. FreeAgent is available on request in the Binom dashboard: Integrations → More integrations → FreeAgent.

What Binom can do in FreeAgent

Binom here refers to your AI employee. Once FreeAgent is connected, it calls the service's actions when the conversation needs that data. You decide which actions it can use. In the dashboard, each action is labeled: read (Binom only views data), write or delete (Binom changes or deletes data in FreeAgent).

Section What Binom can view What Binom can change
Invoices Invoices, PDFs, invoice history, recurring invoices Create, edit, email, status updates, credit note
Estimates Estimates and their PDFs Create, email, approve, convert to invoice
Contacts Contacts Create and edit
Expenses and supplier invoices Expenses, supplier invoices Create and edit
Projects and time Projects, tasks, time tracking Create, time tracking timer
Banking Bank accounts and transactions Upload bank statement

Can the chatbot issue an invoice in FreeAgent?

Yes. Binom creates a contact ("Create Contact") and an invoice ("Create Invoice"), then emails it to the client ("Email Invoice").

Estimate and converting it to an invoice

If the client first wants an estimate, Binom creates it ("Create Estimate") and sends it ("Email Estimate"). When the client agrees, the estimate is converted into an invoice ("Convert Estimate To Invoice").

Invoice status on client request

Binom finds the invoice ("Get Invoice") and reports the payment status.

What access will be needed

Connection method: sign in via OAuth 2.0 (you log in to your service account and confirm access). Details for each method are shown in the "Authentication" section on the FreeAgent page in the dashboard.

How to get the FreeAgent integration

FreeAgent is connected on request: first, the Binom team sets up the integration for your account. The general catalog rules are described in the instructions how to connect a service from "More integrations".

  1. Open Integrations → More integrations, enter "FreeAgent" in the "Search integrations" field, and open the FreeAgent card.
  2. The "FreeAgent integration for assistant" page will show the message "Integration is available on request. Request it now, and we will set it up for you as a priority." Assistant here means your Binom. The "Authentication" section shows what access will be needed, and the "Actions" list shows everything Binom can do in FreeAgent.
  3. Click "Request integration". The message "Request sent. You will receive a notification when the integration is available." will appear, and the button will change to "Requested".
  4. A Binom setup specialist will contact you. When the integration is ready, a "Connect" button will appear on the FreeAgent page.
  5. Click "Connect," complete the steps in the "Connect FreeAgent" window, and click "Done". After "Connecting…", the status will change to "Connected". If the message "Confirmation has not arrived yet. The connection may still complete: check again in a minute." appears, click "Check again".

How to choose what Binom can do in FreeAgent

A connected integration does nothing until you allow actions. The dashboard says it plainly: "Select the actions the assistant may perform. Until something is selected, it has access to none of them."

  1. On the FreeAgent page, check the actions you need in the "Actions" list. The "Filter by actions" field helps you find them by name. The counter shows how many are selected.
  2. Check the "Ask before changing data" toggle. It is on by default: before any action that writes or deletes data, Binom describes what it plans to do and waits for your reply.
  3. Click "Save". The message "Allowed actions saved" confirms the changes.

To get started, "List Contacts", "Create Contact", "Create Invoice" and "Email Invoice" are enough. Add the actions that change or delete data when you are ready to let Binom make changes in FreeAgent.

How to check that the integration works

  • Start a new conversation with your Binom, for example through a public chat link, and ask it to arrange a test service. Check the contact and the invoice in FreeAgent.
  • Delete the test invoice after checking.

Possible problems

Binom does not use FreeAgent data in its answers

What to check: that the FreeAgent status is "Connected" and that the needed actions are selected (for example "Create Contact").
What to do: select the actions and click "Save".
How to tell it is fixed: the message "Allowed actions saved" appears, and in a new conversation Binom answers using FreeAgent data.

"Could not save the request. Please try again."

What to do: click "Request integration" again. If the message keeps appearing, write to support@binomai.com with the name of your Binom and the integration (FreeAgent).
How to tell it is fixed: the button shows "Requested".

"Integration is temporarily unavailable – your request has been saved."

Nothing else is needed: the request is saved, and you will get a notification when FreeAgent can be connected.

"Reconnect required"

What it means: "The service no longer accepts saved access, so the assistant does not use it."
What to do: open the FreeAgent page in More integrations, click "Reconnect" and go through the connection window again.
How to tell it is fixed: the status is "Connected".

"Could not start the connection. Please try again."

What to do: click "Connect" again. If the message keeps appearing, write to support@binomai.com with the name of your Binom, the integration (FreeAgent) and a screenshot of the message.
How to tell it is fixed: the "FreeAgent connection" window opens.

"On a paid plan" instead of the connect button

The page will show "Available on a paid plan. Tell us what you need, and we will let you know when it launches." For what each plan includes, see the plans and subscription pricing page, and for how to change your plan, see the guide how to change or upgrade your plan. After changing your plan, return to More integrations and open FreeAgent again.

"You do not have permission to manage this section."

What this means: only users with the Owner or Admin access level can manage integrations.
What to do: ask the account owner to give you the Admin access level or connect FreeAgent yourself. More details: access levels in your team.
How to tell it's resolved: after you refresh the page, the integration settings open.

If the problem isn't resolved, write to support@binomai.com or send "I want to talk to a person" in the chat with Binom Tutor. Include the name of your Binom and the integration, and attach a screenshot of the message.

How to disconnect FreeAgent

On the FreeAgent page, click "Disconnect". The "Disconnect FreeAgent?" window will show a warning: "Binom will lose access to the service. To restore it, you will need to reconnect the integration and enter the access details again." Confirm, and the message "Integration disconnected" will appear.

Other common questions

Do I need a developer to integrate FreeAgent?

No. Request FreeAgent in Integrations → More integrations. The Binom team sets up the integration, and then you connect the account yourself and choose the actions.
