Gem ATS Integration: Candidates and Interviews from Chat – Gem in Binom

Short answer

How to connect Gem ATS to Binom: job openings, candidates, notes, and interview scheduling. Available on request.

The Gem ATS integration with Binom supports recruiting: your AI employee shares information about job openings, creates a candidate, adds a note, and schedules an interview. Gem is available on request in your Binom account: Integrations → More integrations → Gem.

What Binom can do in Gem

Here, Binom means your AI employee. After you connect Gem, it calls the service's actions when the conversation needs that data. You decide which actions it can use. In your account, each action is labeled: read (Binom only views data), write or delete (Binom changes or deletes data in Gem).

Section What Binom can view What Binom can change
Jobs Jobs, postings, open positions, stages No
Candidates Candidates Create, update, add a note, add an email to the history
Applications Applications Update, move to a stage
Interviews Scheduled interviews, ratings Schedule, update, delete, rate
Offers Offers No

Can the chatbot add a candidate to Gem?

Yes. Binom shares information about job openings ("List Jobs"), creates a candidate ("Create Candidate"), and adds a note about the conversation ("Create Candidate Note").

Interviews

Binom schedules an interview based on an application ("Create Scheduled Interview") and, when the recruiter asks, moves the application to the next stage ("Move Application").

What access you will need

Connection method: API key. The key is created in the Gem admin panel. Details for each method are shown in the "Authentication" block on the Gem page in your account.

How to get the Gem integration

Gem is connected on request: first, the Binom team sets up the integration for your account. The general catalog rules are described in the guide how to connect a service from "More integrations".

  1. Open Integrations → More integrations, enter "Gem" in the "Search integrations" field, and open the Gem card.
  2. The "Gem integration for assistant" page will show the message "Integration available on request. Request it now, and we will set it up for you as a priority." Assistant here means your Binom. The "Authentication" block shows which access you will need, and the "Actions" list shows everything Binom can do in Gem.
  3. Click "Request integration". The message "Request sent. You will receive a notification when the integration is available." will appear, and the button will change to "Requested".
  4. A Binom setup specialist will contact you. When the integration is ready, a "Connect" button will appear on the Gem page.
  5. Click "Connect," go through the steps in the "Connect Gem" window, and click "Done". After "Connecting…", the status will change to "Connected". If you see "Confirmation has not arrived yet. The connection may still complete, so check again in a minute.", click "Check again".

How to choose what Binom can do in Gem

A connected integration does nothing until you allow actions. Your account states this clearly: "Select the actions the assistant can call. Until something is selected, the assistant has no access to any actions."

  1. On the Gem page, check the actions you need in the "Actions" list. The "Filter actions" field helps you find them by name. The counter shows how many are selected.
  2. Check the "Ask before changing data" toggle. It is on by default: before a write or delete action, Binom will describe what it plans to do and wait for your response.
  3. Click "Save". The message "Allowed actions saved" confirms your changes.

To start, "List Jobs", "Create Candidate", "Create Candidate Note", and "Create Scheduled Interview" are enough. Add write and delete actions when you are ready to let Binom make changes in Gem.

How to check that the integration works

  • Start a new conversation with your Binom, for example through a public chat link, enter test candidate details, and check them in Gem.

Possible issues

Binom does not use Gem data in its answers

What to check: the Gem status is "Connected," and the needed actions are selected (for example, "Create Candidate").
What to do: select the actions and click "Save".
How to tell it is fixed: the message "Allowed actions saved" appears, and in the new conversation Binom answers using Gem data.

"Could not save the request. Please try again."

What to do: click "Request integration" again. If the message keeps appearing, write to support@binomai.com with the name of your Binom and the integration (Gem).
How to tell it is fixed: the button shows "Requested."

"The integration is temporarily unavailable. Your request has been saved."

Nothing else is needed: your request is saved, and you will receive a notification when Gem can be connected.

"Reconnect required"

What this means: "The service no longer accepts saved access, so the assistant does not use it."
What to do: open the Gem page in More integrations, click "Reconnect," and go through the connection window again.
How to tell it is fixed: the status shows "Connected."

"Could not start the connection. Please try again."

What to do: click "Connect" again. If the message keeps appearing, write to support@binomai.com with the name of your Binom, the integration (Gem), and a screenshot of the message.
How to tell it is fixed: the "Connect Gem" window opens.

"On a paid plan" instead of the connect button

The page will show "Available on a paid plan. Tell us what you need, and we will let you know when it launches." For details on what each plan includes, see the plans and subscription pricing page. For how to change your plan, see the guide how to change or upgrade your plan. After changing your plan, return to More integrations and open Gem again.

"You do not have permission to manage this section."

What this means: only users with the Owner or Admin access level can manage integrations.
What to do: ask the account owner to give you the Admin access level or to connect Gem themselves. More details: access levels in a team.
How to tell it is fixed: after refreshing the page, the integration settings open.

If the problem is not resolved, write to support@binomai.com or send "I want to talk to a person" in the Binom Tutor chat. Include the name of your Binom, the integration, and a screenshot of the message.

How to disconnect Gem

On the Gem page, click "Disconnect". The "Disconnect Gem?" window will show a warning: "The assistant will lose access to the service. To restore it, you will need to connect the integration again and re-enter your access details." Confirm, and the message "Integration disconnected" will appear.

Common questions

Do I need a developer for the Gem integration?

No. You request Gem in the Integrations → More integrations section, the Binom team sets up the integration, and then you connect your account and choose the actions yourself.
