Can an AI employee handle a company’s incoming email on its own?

The Binom AI platform lets you integrate an AI employee into your corporate communication system to handle emails on its own:

  • Receiving and handling incoming emails: After you connect a mailbox, the digital employee can automatically accept customer inquiries and reply to standard requests, following its professional role.
  • Working through corporate email: The system lets you set up sending and receiving messages through your company's official mailboxes, so the AI employee can act on behalf of your brand.
  • Automatic sending of materials: AI can independently send commercial proposals, instructions, technical documentation and other prepared files upon customer request.
  • Status updates: The employee can confirm receipt of requests and notify users about changes to the status of their orders or inquiries.
  • Consistent standards: Emails are processed based on the company's shared knowledge base, which ensures the same quality of service across all communication channels at once.

Yes. Binom can work as an auto-reply for Gmail emails: it answers customers from a separate mailbox, for example support or sales, based on your knowledge base. Each new email becomes a chat in your account, and the reply arrives in the same email thread. You connect the mailbox by signing in to your Google account in Integrations → Gmail.

Connect a separate mailbox for customer correspondence, not an employee's personal email: Binom will reply to all incoming emails in that mailbox. Helpdesk workflows (queues, email assignment) are not supported yet.

How to connect a mailbox

  1. Open Integrations → Gmail.
  2. Click "Connect Gmail inbox". The Google sign-in window will open. If it doesn't appear, see "Possible issues" below.
  3. Sign in to the required mailbox and allow access.
  4. "Gmail inbox connected" will appear, and next to the mailbox the status "Monitoring incoming emails".

Access applies only to the selected Binom and can be disconnected at any time.

How to check

  1. Send an email to the connected mailbox from another address.
  2. Wait for the reply in the same email thread.
  3. Find the conversation in Chats: in the source filter, select "Gmail".

How to disconnect

Click "Disconnect" next to the mailbox. The message "Gmail inbox disconnected" will appear.

Possible issues

The mailbox shows "Reconnect needed"

What it means: access to the mailbox has expired or was revoked in Google.
What to do: click "Reconnect" and sign in to the mailbox again.
How to tell it's resolved: the status changes to "Monitoring incoming emails".

"Allow pop-ups to connect Gmail"

What to do: allow pop-ups for app.binomai.com. In Chrome, click the blocked pop-up icon on the right side of the address bar, then "Always allow pop-ups and redirects from app.binomai.com", then "Done", and try connecting again.

Integration is not available on your current plan

What you see: the card in the Integrations catalog is grey and marked "Not available on your plan", or the tab says "Gmail integration is available on higher-tier plans". On the free Free plan, messengers and external services cannot be connected (Free plan limitations).

How to switch to the right plan:

  1. Find out which plan you need: in the Integrations section, hover over the grey card. The tooltip "Upgrade to …" will name the most affordable plan that includes the Gmail integration. To see how the Free, Basic, Pro and Business plans differ, check how much Binom AI costs.
  2. Open Subscription. If you are on the free plan, click "Choose a plan". If you are on a paid plan, click "Compare plans".
  3. Select a plan and a billing period (monthly, every 3 months or annually), then click "Confirm and pay". The payment page will open.
  4. After payment, you will see "Subscription payment successful!" Return to Integrations → Gmail. The card will be marked "Available".

Want to try it first? The 7-day trial includes the features of the Basic plan: how to subscribe or start a trial. If you see "Payment was not completed. Your plan has not changed" after paying, try the payment again or write to support@binomai.com, including your account email and the plan you selected.

Message "You don't have permission to manage this section"

What it means: only users with the Owner or Admin access level for the selected Binom can set up integrations.
What to do: ask the account owner to give you the Admin access level or to assign the task to them. For more details, see access levels in a team.
How to tell it's resolved: after refreshing the page, the integrations catalog opens.

If the problem is not resolved, write to support@binomai.com or type "I want to talk to a person" in the Binom Tutor chat. Include the name of your Binom, the Gmail address and a screenshot of the error.
