How to Set Up Online Client Booking with AI: Connecting Google Calendar to Binom

Online booking for clients in Binom works through an integration with Google Calendar: the AI employee suggests free time right in the chat and books the client into a separate calendar in your Google account. Clients can book at any time without calling an administrator, and you see all meetings in the calendar. The connection and booking rules are set up in the Integrations → Google Calendar section.

How AI booking works for clients

  • When connected, Binom creates a separate calendar in your Google account and adds client meetings to it.
  • Binom takes busy time from your other calendars into account, but does not read event titles, guests or details.
  • Binom calculates free slots according to your rules: working hours, meeting length, break between meetings, minimum notice before booking and booking horizon.
  • Access applies only to this Binom and is turned off in the integration settings.

How to connect Google Calendar

  1. Open Integrations → Google Calendar. The tab is called "Google Calendar integration".
  2. Click "Connect Google Calendar" and allow access in the Google window. Connect from the computer where your time zone is set: when connecting, Binom takes it from the browser.
  3. "Google Calendar connected" will appear. The tab will show your account address, "Booking calendar timezone" and the link "Open the booking calendar in Google".

How to set up booking rules

Below the account details is the "Booking rules" block:

Field What it sets
Timezone Booking time zone, for example Europe/Kyiv
Slot length, minutes Length of one meeting in minutes
Buffer, minutes Free time before and after each meeting
Minimum notice, minutes How many minutes before the start a client can book
Booking horizon, days How many days ahead Binom offers free time
Send the client a Google Calendar invitation If the client left an email, Google will automatically send them an invitation and emails when a meeting is booked, rescheduled or canceled

Working hours

  1. In the "Working hours" block, click "Open this day" for each day of the week and enter the working hours. A day without hours is considered a day off.
  2. To keep lunch free, click "Add window" and add a second interval, for example 09:00-13:00 and 14:00-18:00. An interval cannot cross midnight.
  3. Click "Save booking settings". "Booking settings saved" will appear.

Only the administrator who connected the calendar can change the booking rules.

How to check a booking

  1. Open a new dialog with Binom and ask it to book you a convenient time.
  2. Binom will suggest free slots according to your rules; choose one.
  3. Click "Open the booking calendar in Google" on the integration tab: the meeting should appear in the booking calendar.
  4. The conversation with the client will be saved in Chats.

How to disconnect or reconnect

The "Reconnect" button requests Google access again, and "Disconnect" turns off the integration. After disconnecting, the booking calendar and all meetings remain in your Google account.

Possible problems

Meetings are booked with a time offset

What to check: the "Timezone" values in "Booking rules" and "Booking calendar timezone" in your account data.
What to do: select your time zone in "Timezone" and click "Save booking settings".
How to tell it's resolved: a new test booking appears in the calendar at the selected time.

Warning: Google authorization is no longer valid

Click "Reconnect" and leave all requested permissions enabled in the Google window.

"Allow pop-ups to connect Google Calendar"

Allow pop-ups for app.binomai.com and click "Connect Google Calendar" again.

Booking rules fields can't be edited

Only the administrator who connected the calendar can change the rules. Ask them to make the changes or to reconnect the calendar from their account.

The tab says the integration is unavailable

If you see a plan restriction message instead of the connect button, follow the link in that message. What's included in each plan is listed on the plans and pricing page. After changing your plan, return to the Google Calendar tab.

"You don't have permission to manage this section."

What it means: only users with the Owner or Admin access level of the selected Binom can connect integrations.
What to do: ask the account owner to give you the Admin access level or to connect the integration yourself. More: access levels in a team.
How to tell it's resolved: after refreshing the page, the integration tab opens with the connect button.

If the problem persists, write to support@binomai.com or send "I want to talk to a human" to the Binom Tutor chat. Include the Binom name, your Google account address, and the time of the test booking, and attach a screenshot of the message.
