How to connect SAP S/4HANA to Binom: customers, sales orders with line items, order status. Available on request.
The SAP S/4HANA integration connects the chat with your ERP: the AI employee finds the customer, creates a sales order with line items, and reports the order status. SAP S/4HANA is available on request in the Binom dashboard: Integrations → More integrations → SAP S/4HANA.
What Binom can do in SAP S/4HANA
Binom here refers to your AI employee. Once SAP S/4HANA is connected, it calls the service's actions when the conversation needs that data. You decide which actions are available to it. In the dashboard, each action is labeled: read (Binom only views data), write, or delete (Binom changes or deletes data in SAP S/4HANA).
| Section | What Binom can view | What Binom can change |
|---|---|---|
| Sales orders | Orders, line items, partners, prices | Creating and editing orders and line items |
| Customers and suppliers | Customers, suppliers, business partners, addresses | Creating and editing |
| Products | Products, descriptions, plants | Creating and editing |
Can the chatbot create an order in SAP S/4HANA?
Yes. Binom finds the customer ("List Customers") and creates a sales order ("Create Sales Order") with line items from the conversation ("Create Sales Order Item").
Order status
Binom finds the order ("Get Sales Order") and its line items ("List Sales Order Items") and tells the customer the status.
What access you will need
Connection method: sign in via OAuth 2.0 (you sign in to your service account and confirm access). A communication setup in SAP S/4HANA Cloud with client keys will be needed. Details for each method are shown in the "Authentication" block on the SAP S/4HANA page in the dashboard.
How to get the SAP S/4HANA integration
SAP S/4HANA is connected on request: first, the Binom team sets up the integration for your account. The general catalog rules are described in the instructions how to connect a service from "More integrations".
- Open Integrations → More integrations, enter "SAP S/4HANA" in the "Search integrations" field, and open the SAP S/4HANA card.
- On the "SAP S/4HANA integration for assistant" page, there will be a message: "Integration is available on request. Request it now, and we will set it up for you on a priority basis." The assistant here is your Binom. The "Authentication" block shows which access will be needed, and the "Actions" list shows everything Binom can do in SAP S/4HANA.
- Click "Request integration". "Request sent. You will receive a notification when the integration is available." will appear, and the button will change to "Requested".
- A Binom setup specialist will contact you. When the integration is ready, a "Connect" button will appear on the SAP S/4HANA page.
- Click "Connect," go through the steps in the "Connecting SAP S/4HANA" window, and click "Done." After "Connecting…", the status will change to "Connected". If "Confirmation has not arrived yet. The connection may still complete; check again in a minute." appears, click "Check again".
How to choose what Binom can do in SAP S/4HANA
A connected integration does nothing until you allow actions. The dashboard states this directly: "Select the actions the assistant may call. While nothing is selected, it has no access to any of them."
- On the SAP S/4HANA page, tick the actions you need in the Actions list. The Filter actions field helps you find them by name. The counter shows how many are selected.
- Check the "Ask before changing data" toggle. It is on by default: before a write or delete action, Binom will describe what it intends to do and wait for your confirmation.
- Click "Save". The message "Allowed actions saved" confirms the changes.
To start, "List Customers", "List Products", "Create Sales Order" and "Get Sales Order" are enough. Add update and delete actions when you are ready to let Binom make changes in SAP S/4HANA.
How to check that the integration works
- Start a new conversation with your Binom, for example through a public chat link, ask about a real order and compare the status with SAP.
Possible issues
Binom does not use SAP S/4HANA data in its answers
What to check: the SAP S/4HANA status is "Connected" and the required actions are ticked (for example "List Products").
What to do: tick the actions and click "Save".
How to tell it is resolved: the message "Allowed actions saved" appears, and in a new conversation Binom answers using SAP S/4HANA data.
"Could not save the request. Please try again."
What to do: click "Request integration" again. If the message keeps appearing, write to support@binomai.com with the name of your Binom and the integration (SAP S/4HANA).
How to tell it is resolved: the button shows "Requested".
"Integration is temporarily unavailable – your request has been saved."
Nothing else is needed: your request is saved, and you will receive a notification when SAP S/4HANA can be connected.
"Reconnection required"
What it means: "The service no longer accepts saved access, so the assistant does not use it."
What to do: open the SAP S/4HANA page under More integrations, click "Reconnect" and go through the connection window again.
How to tell it is resolved: the status shows "Connected".
"Could not start the connection. Please try again."
What to do: click "Connect" again. If the message keeps appearing, write to support@binomai.com with the name of your Binom, the integration (SAP S/4HANA) and a screenshot of the message.
How to tell it is resolved: the "SAP S/4HANA connection" window opens.
"On a paid plan" instead of the connect button
The page will show "Available on a paid plan. Tell us what you need, and we will notify you when it launches." For what each plan includes, see the plans and subscription pricing page, and for how to change your plan, see the guide how to change or upgrade your plan. After changing your plan, return to More integrations and open SAP S/4HANA again.
"You do not have permission to manage this section."
What it means: only users with the Owner or Admin access level can manage integrations.
What to do: ask the account owner to give you the Admin access level or to connect SAP S/4HANA yourself. For more details, see access levels in a team.
How to tell it is resolved: after refreshing the page, the integration settings open.
If the problem is not resolved, write to support@binomai.com or send the message "I want to speak with a human" in the chat with Tutor. Include the name of the Binom, the integration, and attach a screenshot of the message.
How to disconnect SAP S/4HANA
On the SAP S/4HANA page, click "Disconnect". The "Disconnect SAP S/4HANA?" window will show a warning: "The assistant will lose access to the service. To restore it, you will need to reconnect the integration and enter the access details again." Confirm, and "Integration disconnected" will appear.
