Ashby integration: candidates and applications from chat – Ashby in Binom

Updated 6 min read 09 / 13
Short answer

How to connect Ashby to Binom: job postings, candidates with resumes, applications and recruiter notes. Available on request.

The Ashby integration with Binom helps recruiting: the AI employee tells the candidate about open positions, creates a candidate with a resume, submits them for a position, and leaves a note for the recruiter. Ashby is available on request in the Binom dashboard: Integrations → More integrations → Ashby.

What Binom can do in Ashby

Here, Binom refers to your AI employee. After you connect Ashby, it calls the service's actions when the conversation needs that data. You decide which actions are available to it. In the dashboard, each action is labeled: read (Binom only views data), write or delete (Binom changes or deletes data in Ashby).

Section What Binom can view What Binom can change
Jobs Jobs, postings, open positions Creating and editing
Candidates Candidates, search, notes, tags Creating, editing, resumes, notes, tags
Applications Applications, stages Creating, moving to a stage, transferring
Interviews Interview plans and stages No

Can the chatbot create a candidate in Ashby?

Yes. Binom searches for a candidate ("Search Candidates"), creates them ("Create Candidate"), and attaches a resume ("Upload Candidate Resume").

Application and a note for the recruiter

Binom submits the candidate for a position ("Create Application") and leaves a note about the conversation ("Create Candidate Note As String").

What access you will need

Connection method: API key. Ashby administrator rights are required. Details for each method are shown in the "Authentication" block on the Ashby page in the dashboard.

How to get the Ashby integration

Ashby is connected on request: first, the Binom team sets up the integration for your account. The general catalog rules are described in the instructions how to connect a service from "More integrations".

  1. Open Integrations → More integrations, enter "Ashby" in the "Search integrations" field, and open the Ashby card.
  2. The "Ashby integration for assistant" page will show the message "Integration is available on request. Request it now, and we will set it up for you as a priority." The assistant here is your Binom. The "Authentication" block shows which access you will need, and the "Actions" list shows everything Binom can do in Ashby.
  3. Click "Request integration". "Request sent. You will receive a notification when the integration becomes available." will appear, and the button will change to "Requested".
  4. A Binom setup specialist will contact you. When the integration is ready, a "Connect" button will appear on the Ashby page.
  5. Click "Connect", go through the steps in the "Connecting Ashby" window, and click "Done". After "Connecting…", the status will change to "Connected". If "Confirmation has not arrived yet. The connection may still complete: check again in a minute." appears, click "Check again".

How to choose what Binom can do in Ashby

A connected integration does nothing until you allow actions. The dashboard states this directly: "Select the actions the assistant may call. Until something is selected, it has no access to any of them."

  1. On the Ashby page, check the actions you need in the "Actions" list. The "Filter by actions" field helps you find them by name. The counter shows how many are selected.
  2. Check the "Ask before changing data" toggle. It is on by default: before any write or delete action, Binom will describe what it is about to do and wait for your reply.
  3. Click "Save". The message "Allowed actions saved" confirms the changes.

To start, "List Job Postings", "Search Candidates", "Create Candidate" and "Create Application" are enough. Add the update and delete actions when you are ready to let Binom make changes in Ashby.

How to check that the integration works

  • Start a new conversation with your Binom, for example through the public chat link, enter test candidate details, and check them in Ashby.
  • Delete the test candidate after checking.

Possible issues

Binom does not use Ashby data in its answers

What to check: that the Ashby status is "Connected" and the needed actions are checked (for example "Search Candidates").
What to do: check the actions and click "Save".
How to tell it is resolved: the message "Allowed actions saved" appears, and in a new conversation Binom answers using Ashby data.

"Could not record the request. Please try again."

What to do: click "Request integration" again. If the message keeps appearing, write to support@binomai.com with the name of your Binom and the integration (Ashby).
How to tell it is resolved: the button shows "Requested".

"Integration is temporarily unavailable – your request has been recorded."

Nothing else is needed: the request is saved, and you will receive a notification when Ashby can be connected.

"Reconnection required"

What it means: "The service no longer accepts saved access, so the assistant does not use it."
What to do: open the Ashby page in More integrations, click "Reconnect" and go through the connection window again.
How to tell it is resolved: the status shows "Connected".

"Could not start the connection. Please try again."

What to do: click "Connect" again. If the message keeps appearing, write to support@binomai.com with the name of your Binom, the integration (Ashby) and a screenshot of the message.
How to tell it is resolved: the "Connect Ashby" window opens.

"On a paid plan" instead of the connect button

The page will show "Available on a paid plan. Tell us what you need, and we will let you know when it launches." For what is included in each plan, see the plans and subscription pricing page, and for how to change your plan, see the guide how to change or upgrade your plan. After changing your plan, return to More integrations and open Ashby again.

"You do not have permission to manage this section."

What this means: only users with the Owner or Admin access level can manage integrations.
What to do: ask the account owner to give you the Admin access level or to connect Ashby yourself. More details: access levels in a team.
How to tell it's resolved: after you refresh the page, the integration settings open.

If the problem persists, write to support@binomai.com or, in the chat with Binom Tutor, type "I want to talk to a person". Include the name of the Binom, the integration, and attach a screenshot of the message.

How to disconnect Ashby

On the Ashby page, click "Disconnect". The "Disconnect Ashby?" window will show a warning: "The assistant will lose access to the service. To restore it, you will need to reconnect the integration and enter the access details again." Confirm, and the message "Integration disconnected" will appear.

Other common questions

Do I need a developer to integrate Ashby?

No. You request Ashby in the Integrations → More integrations section, the Binom team sets up the integration, and then you connect the account yourself and choose the actions.
