Microsoft Outlook Integration: Emails to Clients from Chat – Outlook in Binom

Updated 5 min read 01 / 06
Short answer

How to connect Microsoft Outlook to Binom: emails summarizing the conversation, replies, and drafts for review. Available on request.

Integrating Microsoft Outlook with Binom connects your AI employee to your work email: Binom sends an email summarizing the conversation, replies to an email, and prepares a draft for review. Microsoft Outlook is available on request in your Binom dashboard: Integrations → More integrations → Microsoft Outlook.

What Binom can do in Microsoft Outlook

Binom here means your AI employee. After you connect Microsoft Outlook, it calls the service's actions when the conversation requires that data. You decide which actions it can use. In the dashboard, each action is labeled: read (Binom only views data), write or delete (Binom changes or deletes data in Microsoft Outlook).

Section What Binom can view What Binom can change
Emails Emails, folders, attachments Send, reply, forward, draft, move
Folders Mail folders Create, move, delete
Rules Inbox rules Create and edit

Can Binom send an email from Outlook?

Yes. Binom sends the client an email summarizing the conversation ("Send Mail") or replies to their email ("Reply To Message").

Draft for review

If an email is important, Binom prepares a draft ("Create Draft Message"), and your employee reviews it and sends it themselves.

What access you will need

Connection method: sign-in via OAuth 2.0 (you sign in to your service account and confirm access). You will need an app in Microsoft Entra ID with mail permissions. Details for each method are shown in the "Authentication" section on the Microsoft Outlook page in the dashboard.

How to get the Microsoft Outlook integration

Microsoft Outlook is connected on request: first the Binom team sets up the integration for your account. General catalog rules are described in the guide how to connect a service from "More integrations".

  1. Open Integrations → More integrations, enter "Microsoft Outlook" in the "Search integrations" field, and open the Microsoft Outlook card.
  2. The "Microsoft Outlook Integration for Assistant" page will show the message "Integration available on request. Request it now, and we will set it up for you as a priority." Assistant here means your Binom. The "Authentication" block shows which access you will need, and the "Actions" list shows everything Binom can do in Microsoft Outlook.
  3. Click "Request integration". The message "Request sent. You will receive a notification when the integration is available." will appear, and the button will change to "Requested".
  4. A Binom team member will contact you about setup. When the integration is ready, a "Connect" button will appear on the Microsoft Outlook page.
  5. Click "Connect," go through the steps in the "Connect Microsoft Outlook" window, and click "Done". After "Connecting…", the status will change to "Connected". If you see "Confirmation has not arrived yet. The connection may still complete, so check again in a minute.", click "Check again".

How to choose what Binom can do in Microsoft Outlook

A connected integration does nothing until you allow actions. The dashboard states this clearly: "Select the actions the assistant may perform. Until something is selected, it has no access to any action."

  1. On the Microsoft Outlook page, check the actions you need in the "Actions" list. The "Filter by actions" field helps you find them by name. The counter shows how many are selected.
  2. Check the "Ask before changing data" toggle. It is on by default: before a write or delete action, Binom will describe what it intends to do and wait for your response.
  3. Click "Save". The message "Allowed actions saved" confirms the changes.

To start, "List Messages," "Get Message," "Create Draft Message," and "Send Mail" are enough. Add actions that change or delete data when you are ready to trust Binom with changes in Microsoft Outlook.

How to check that the integration works

  • Start a new conversation with your Binom, for example via a public chat link, ask it to send a test email to your address, and check it.

Possible problems

Binom does not use Microsoft Outlook data in its answers

What to check: the Microsoft Outlook status is "Connected," and the needed actions are selected (for example "Get Message").
What to do: select the actions and click "Save".
How to tell it is fixed: the message "Allowed actions saved" appears, and in a new conversation Binom answers using Microsoft Outlook data.

"Could not save the request. Please try again."

What to do: click "Request integration" again. If the message repeats, write to support@binomai.com with the name of your Binom and the integration (Microsoft Outlook).
How to tell it is fixed: the button shows "Requested."

"Integration temporarily unavailable – your request has been saved."

Nothing else is needed: the request is saved, and you will receive a notification when Microsoft Outlook can be connected.

"Reconnection required"

What it means: "The service no longer accepts saved access, so the assistant does not use it."
What to do: open the Microsoft Outlook page under More integrations, click "Reconnect," and go through the connection window again.
How to tell it is fixed: the status shows "Connected."

"Could not start the connection. Please try again."

What to do: click "Connect" again. If the message repeats, write to support@binomai.com with the name of your Binom, the integration (Microsoft Outlook), and a screenshot of the message.
How to tell it is fixed: the "Connect Microsoft Outlook" window opens.

"Paid plan" instead of a connect button

The page will show "Available on a paid plan. Tell us what you need, and we will notify you when it launches." For what each plan includes, see the plans and subscription pricing page, and for how to change your plan, see the guide how to change or upgrade your plan. After changing your plan, return to More integrations and open Microsoft Outlook again.

"You do not have permission to manage this section."

What it means: only users with the Owner or Admin access level can manage integrations.
What to do: ask the account owner to grant you the Admin level or to connect Microsoft Outlook themselves. More: access levels in a team.
How to tell it is fixed: after refreshing the page, the integration settings open.

If the problem is not resolved, write to support@binomai.com or send "I want to talk to a person" in the Binom Tutor chat. Include the name of your Binom, the integration, and a screenshot of the message.

How to disconnect Microsoft Outlook

On the Microsoft Outlook page, click "Disconnect". The "Disconnect Microsoft Outlook?" window will show a warning: "The assistant will lose access to the service. To restore it, the integration will need to be connected again and access entered again." Confirm, and "Integration disconnected" will appear.

Frequently asked questions

Do I need a developer for the Microsoft Outlook integration?

No. You request Microsoft Outlook in the Integrations → More integrations section, the Binom team sets up the integration, and then you connect the account yourself and choose the actions.
